WhatsApp link and QR code: how to create and use them for your business
If you serve customers on WhatsApp, every step the customer has to take to message you is a lost opportunity. Saving your number, searching for it and writing the first message puts many people off. A direct link or QR code removes that friction: with one tap or scan, the conversation opens with the message already written.
How a WhatsApp link works
WhatsApp offers a link format that starts with wa.me followed by the number in international format, without plus signs, spaces or dashes. When opened on a phone, it starts a chat with that person. You can also add an opening text that appears typed in the message box, ready to send.
The number must include the country code. A frequent mistake is leaving in a leading zero or the plus sign, which makes the link fail.
What the prefilled message is for
The opening message helps both you and your customer. For you, because you receive clearer enquiries: 'Hi, I would like a quote for product X' tells you immediately what the person needs. For them, because they do not have to think how to start. You can create different links for different products or campaigns and know where each enquiry came from.
Keep the text short and natural. Avoid long messages with complicated formatting, since some special characters are encoded and may look odd.
Creating the link and QR in Zipnify
Open the WhatsApp link tool, type your number with the country code and the message you want. You will get the link ready to copy and also a QR code. You can customise colours, dot shape and margin, even add a logo, and choose the image size to download.
Everything is processed in your browser: your number and message are not sent to any Zipnify server.
Where to use the link and the QR
The link works in your Instagram or TikTok bio, in your email footer, on your Google listing or on a web page. The QR is ideal for physical materials: business cards, shop signs, packaging, leaflets, windows or invoices.
In a shop, a sign with the QR and the phrase 'Message us on WhatsApp' near the till or the door generates enquiries outside opening hours, which you can answer the next day.
Taking care of the QR image
Keep high contrast between the code and its background, without inverting colours. If you add a logo, keep it small and check scanning with more than one phone. Print the QR at a minimum of 2 to 3 centimetres and leave a blank margin around it.
If you use your brand colours, choose dark tones for the dots and light for the background. It is the combination cameras read best.
Good customer service practices
A link will generate enquiries, so prepare quick answers to frequent questions and define clear hours. WhatsApp Business lets you save quick replies, a welcome message and an away message, all useful for orderly service.
Always respect people's privacy: use contacts only to answer their enquiries and do not add them to lists without their consent.
